Turn Support FAQs Into a Weekly Storyboard Backlog

Triage support FAQs by frequency × confusion × demo risk, then map each to a one-beat storyboard for a weekly teach Reel queue.

Turn Support FAQs Into a Weekly Storyboard Backlog

Convert ticket and chat FAQs into a prioritized teach Reel queue with a triage rubric—frequency × confusion × demo risk—then map each winner to a one-beat board before anyone generates clips.

Support already knows what customers misunderstand. Marketing often rediscovers the same questions in a brainstorm. The backlog bridge is a shared rubric plus a FAQ→beat map you approve once per week.

For splitting one FAQ into multiple shorts, see turning a FAQ into five short explainer clips for social. This piece focuses on weekly backlog ops.

Pull a raw FAQ list (30 minutes)

Sources that work:

  • Top ticket tags / macros (last 30–60 days)
  • Chat deflection questions
  • Sales objection notes that are really how-tos
  • Onboarding quiz misses
  • Community / Slack repeats

Normalize each row to: question, current answer link, owner, raw count. Do not write scripts yet.

Triage rubric: frequency × confusion × demo risk

Score each FAQ 1–5 on three axes, then multiply or sum consistently (pick one method and stick to it).

Axis15
FrequencyRareWeekly flood
ConfusionAnswer is one link awayCustomers still reopen after the macro
Demo riskPure policy textWrong click causes data/billing pain

Prioritize high frequency × high confusion. Elevate high demo risk even if frequency is medium—those mistakes are expensive.

Example ranking table:

FAQFCDPriority
How do I invite a teammate?522Medium
Why did my sync overwrite fields?355Top
Where is the invoice PDF?411Low (help center only)

One-beat board per FAQ (not a mini documentary)

For each Top-N FAQ this week (usually 3–7):

  1. Promise sentence — what the viewer can do after 30–45s
  2. Hook — mistake or question pattern
  3. One demo beat — the single screen or metaphor that answers it
  4. CTA — link to deeper doc or next FAQ clip

Cap scope ruthlessly. If the answer needs four screens, split into a series (batching weekly teach content).

Approve the FAQ→beat map before generating

Hold a 20-minute gate with Support + PMM:

  • Confirm the ranked list
  • Mark “help center only” vs “Reel-worthy”
  • Approve beat maps (still optional at this gate—claims first)
  • Assign publish days

Only after the map is approved should anyone open the render queue. That discipline matches storyboard-first vs generate-then-fix.

Measure whether clips reduced reopen rates or ticket volume on that tag—not only views (measure beyond views).

Handoff checklist

  • Normalized FAQ export attached
  • Rubric scores filled
  • Top-N selected for this week
  • FAQ→beat map approved by Support + PMM
  • Help-center updates filed for “Reel-not-needed” rows

Without RACI, Support dumps a CSV and Marketing never prioritizes—or Marketing invents FAQs Support never sees.

From macro to Reel without duplicating docs

Reels should not replace help centers. Pattern:

  • Help center = durable canonical answer
  • Reel = teachable misconception + demo pointer
  • Macro = short text + Reel link + doc link

If the Reel tries to be the canonical policy text, you will ship outdated guidance. Keep policy in docs; keep misconception teaching in video.

Backlog hygiene

  • Expire unscored FAQs after 60 days without tickets
  • Re-score after major releases (changelog may kill or create FAQs)
  • Archive Reels that conflict with new UI; do not silently leave them ranking in highlights

Worked triage session (45 minutes)

  1. Export top 40 macros (10 min)
  2. Independently score F/C/D for top 20 (15 min)
  3. Resolve disagreements >2 points (10 min)
  4. Pick seven Reel-worthy; mark rest help-center (5 min)
  5. Draft one-line promises for the seven (5 min)

Ship beat maps the next day—not during the triage meeting. Mixing scoring with scripting recreates endless workshops.

Quality bar for a FAQ Reel

A FAQ Reel passes if a new teammate can answer the ticket after one watch and the help center remains the policy source. If the Reel invents policy shortcuts, Support will refuse to link it.

Fill seven rows max per week. Anything beyond seven waits—batching discipline beats heroic volume.

Communication templates

To Support: “Here are this week’s three FAQ Reels and macros. Reply if the recovery steps are wrong.”

To Sales: “These clips answer the how-to objections you flagged—not pricing. Use Gotcha for risk, How for demo.”

To Founder: “Triage scores attached; we skipped vanity FAQs with low confusion.”

Soft tool note

Whatever stack you use, approve the FAQ→beat map before generating clips so the weekly backlog stays teach-shaped. Platforms such as Scro are built around that storyboard-first gate; the triage rubric still works in a shared sheet beside your ticket export.
